How do I create my Red Belt Gym account?

You will need a plan to get started. You’ll receive your admin login from the support team. You can log in at www.redbeltgym.com.

Click Forgot on the login screen, then check your email for reset instructions. If you don’t see the email, check your spam folder.

Absolutely. Red Belt Gym is cloud-based, so you can log in from anywhere. We recommend using a computer or tablet. There are apps for mobile devices with internet access.

Yes. Each instructor or admin can have their own login with role-based permissions. This allows you to control what each staff member can access.

We provide a simple import tool. Click Contacts > Import to upload your existing student list Only csv/xlsx/xls file format is supported. Red Belt Gym will create profiles automatically. Our support team can also assist with migrations.

How do I add a new student profile?

Click Contacts > Create. Enter their personal information, membership details, and assign them to a program.

Yes. You can link multiple accounts for simplified management.

You can check students in by name or phone number at the front desk. Attendance records are stored automatically in their student profile.

Click Settings > Programs to create programs. You can customize pricing, start dates, and renewal settings. Assign recurring memberships, one-time passes, or free trials on a student profile.

What payment methods does Red Belt Gym accept?

We accept major credit cards, ACH bank transfers, and saved payment methods for recurring billing.

When creating a membership, check the Recurring Billing option. Payments will then be automatically processed on the schedule you set.

From the Transactions tab, select the payment, then click Refund. You can issue partial or full refunds and generate receipts for your records.

Yes. All payments are processed using secure, PCI-compliant gateways. Sensitive data like credit card numbers are encrypted.

Can I sell merchandise, seminars, or private lessons online?

Yes. Use Landing Pages to sell one-off or recurring items such as uniforms, gloves, seminars, or private lessons.

Can I set up recurring classes or events?

Yes. When creating a class, you can choose a recurring option (daily, weekly, monthly). This is ideal for ongoing programs like Muay Thai, BJJ, or kids’ martial arts.

Go to your calendar, click the class, and select Cancel or Edit. Students who booked will automatically be notified if reminders are enabled.

Currently, students cannot select a date/time on their own. Instead, they fill out a form on your website or landing page, and your staff follows up to finalize the booking.

Yes. Private lessons can be set up as a service in the Programs section. Then, add private lessons to the schedule as you would any appointment.

What are automations in Red Belt Gym?

Automations are workflows that save time by handling repetitive tasks like sending reminders, billing notifications, or follow-up messages automatically.

Go to Automations → Create, to set up new workflows such as sending an email or text. You can customize the message to match your school’s tone.

Yes. Use the On Missed trigger to send a follow-up email or text when a student hasn’t attended class for a set number of days.

Yes. Red Belt Gym connects with Zapier, allowing you to integrate with hundreds of apps such as Google Sheets, Mailchimp, or Facebook.

Failed payment automations are pre-built into the system. When a payment fails, students automatically receive a reminder with a secure link to update their payment information.

Yes. You can create rules that trigger messages or tasks based on rank promotions, attendance milestones, or inactivity periods.

Go to Automations, and use tags and delivery channels to target the preferred demographic

How do I download and log in to the app?

Yes. Staff can send and receive messages with students or parents, making communication faster and easier.

When someone calls your gym’s dedicated Red Belt phone number, the call will appear directly in the Red Belt Connect app on your mobile device. To answer:

  • Tap the green Answer button when the call notification appears.
  • Speak with the caller just as you would on a regular phone call.
  • After the call ends, the conversation is automatically logged in the student’s profile, so you can review call history, notes, or follow-up tasks later.

This ensures every call is tied back to your Red Belt system, keeping your communication history complete and organized.

Yes, the app is free to download and is used in conjunction with your Red Belt Gym plan.

Yes. Students will get push notifications for schedule updates, new messages, upcoming events, or assigned documents.

Yes, the app is free to download. Access to features depends on the student’s enrollment and what their school has enabled.
